ESSENTIAL DUTIES AND RESPONSIBILITIES The work performed by the Human Resources Assistant is work of considerable variety and complexity in the Public Defender's office.
Work is performed under the general direction of a higher-level employee, and is reviewed for results obtained.
The primary responsibility of the Human Resources Assistant is to perform work in support of the Human Resources Department.
Duties include, but are not limited to:
Performing secretarial work of considerable variety and complexity for the Human Resources Department.
Filing Human Resources paperwork, and maintaining employee files.
Maintaining alphabetical, chronological, and electronic files and records of office correspondence, documents, reports, and other materials.
Receiving and reading incoming mail and emails, screening items which can be handled personally, and when necessary, forwarding items to the appropriate staff members with the needed background information.
Maintaining computer system by updating and entering data.
Providing customer service to organization employees.
Compiling/preparing reports and spreadsheets.
Creating and distributing documents.
Maintaining calendars of staff members in the Administration Department.
Answering employee questions.
Setting appointments and arranging meetings.
Assisting with processing payroll.
Assisting with preparing and posting job advertisements, organizing resumes and job applications.
Scheduling interviews, and may participate in the interview process.
Preparing Human Resources paperwork, including new employee files and termination documents.
Ensuring background checks are completed.
Assisting with new hire orientation, and ensuring new employees have a great onboarding experience.
Assisting employees with completing paperwork.
Collecting employment and tax information.
Performing file audits to ensure that all required employee documentation is collected and maintained.
Accomplishing department and organization mission by completing related tasks as needed.
ABILITIES To effectively perform the duties of a Human Resources Assistant, individuals must be able to demonstrate a number of competencies that are essential to the position, which include:
Must be able to communicate clearly and professionally, both written and orally, as to communicate with staff members.
Must possess strong interpersonal skills.
Must be detail-oriented, able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information.
Must be able to prioritize and plan work activities as to use time efficiently.
Must be organized, accurate, thorough, and able to monitor work for quality.
Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback.
Must be flexible in work assignments and processes based upon need/priority.
Must be able to utilize Microsoft Word, Excel, and Outlook effectively.
EDUCATION and/or EXPERIENCE Graduation from high school and at least two years of secretarial or three years of clerical and typical experience, or an equivalent combination of training and experience.
Prior human resources related experience preferred.
An equivalency diploma issued by a state department of education may be substituted for high school graduation.
CERTIFICATIONS, LICENSES, REGISTRATIONS A valid Florida driver's license is required.
LANGUAGE SKILLS Ability to read, analyze and interpret general business periodicals, technical procedures, legal documents and governmental regulations.
Ability to write reports, business correspondence and transcripts.
MATHEMATICAL SKILLS Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
REASONING ABILITY Must be able to apply common sense understanding to carry out instructions in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
Must be able to evaluate problems, isolate key issues, research and develop alternative solutions.
WORK ENVIRONMENT The noise level for this position is moderate.
